What is Xero?

Xero is the most credible alternative to QuickBooks in North America, and the pricing model is the headline. Every plan includes unlimited users. If five people touch your books, that difference compounds every month.

What it does well

The interface is the cleanest in this category by a wide margin. Reconciliation is a side by side match screen that most people understand within a day, and the audit trail on every transaction is thorough enough to satisfy a careful controller.

The app ecosystem is large and the integrations tend to be maintained rather than abandoned. Inventory, projects and expense claims are included rather than upsold.

Tax and filing

US sales tax runs through an Avalara integration rather than being native, which is more capable at scale and more setup up front. Canadian GST, HST and PST are handled natively with CRA ready returns.

Payroll is the honest gap. Xero retired its own US payroll and now hands off to Gusto, so most US teams run two subscriptions. In Canada it partners rather than builds. If you want accounting and payroll from one vendor, this is not that product.

Where it frustrates people

US market share is small enough that some accountants will quote you extra to work in it. Reporting is good but less flexible than QuickBooks at the deep end, and a few reports that should be standard require a workaround. Phone support does not exist: everything routes through email and the response is usually next day.

Reconciliation stopped being a chore

Coming from a cluttered competitor, the clarity is a relief. Everything is where you would guess it is. Our bookkeeper was skeptical about the change and is now the loudest advocate for it.

Pros

The reconciliation screen is the clearest in this category. New staff learn it in a day.

Reporting hits a ceiling

We had a reconciliation problem three days before a filing deadline and there is no number to call. Email support answered the next morning, politely, and did not solve it. For a finance system, no phone line is a real gap.

Pros

Unlimited users on every plan. Our whole team has access without a per seat bill.

The cleanest accounting interface I have used

Five people touch our books and every one of them has a login at no extra cost. Under our old system that was three paid seats and a shared password. That alone made the switch worth it, and the software turned out to be better too.

Pros

The audit trail records every change with a name and a timestamp.

Cons

The Early plan's 20 invoice cap is too low to be useful for most businesses.
