Overview

What is Smartsheet?

Smartsheet's insight is that most of the working world already knows how to use a grid. Rather than teaching operations managers a new mental model, it takes the familiar rows and columns and adds dependencies, automation, forms, approvals and reporting behind them. That is why it shows up in construction trailers and manufacturing plants where more fashionable tools never landed.

Where it is genuinely strong

Anything that starts life as a spreadsheet and became too important to stay one. Project schedules with real critical paths, resource plans, rollout trackers across hundreds of sites, and intake processes where a form feeds a sheet that routes for approval.

Reporting across many sheets is the enterprise feature that keeps it in large accounts. A programme manager can roll two hundred project sheets into one portfolio view, which is the thing lighter tools cannot do.

Pricing

Pro is 9 dollars per member per month billed annually, or 12 monthly. Business is 19 annually, or 24 monthly, and requires at least three members. Enterprise is quoted. The important detail is that Contributors, meaning people who view, comment and submit forms, are free and unlimited on every plan, so you only license the people building sheets.

That model is genuinely generous for an organization where twenty people build and four hundred consume.

Where it frustrates people

The grid is both the strength and the ceiling. Complex work eventually produces sheets with fifty columns that nobody but their author can read, and Smartsheet does little to stop that. Discipline has to come from you.

Add ons are the other complaint. Resource Management, Dynamic View and Data Shuttle are separately priced, and several capabilities buyers assume are included turn out to be another line. Ask specifically what is in your plan before you build a process around a feature you are only trialling.

Two hundred project sheets into one view

We had a master tracker in Excel that was too important to be in Excel. Version conflicts, someone's local copy, formulas broken by a paste. Moving it here kept the shape our team knew and added permissions, history and automation behind it.

Powerful, and not beautiful

The automation is capable and the builder is fiddly. Complex conditional logic takes longer to express than it should and testing it is awkward. Once built it runs reliably.
