What is Trello?

Trello is cards on a board. That is the whole product, and it is why a warehouse team, a law office and a marketing department can all be running it by Friday with no training.

What it does well

Adoption is effectively free. There is nothing to learn and nothing to configure. For tracking a defined flow, such as a hiring pipeline, a content calendar or a punch list, it is the right amount of tool and everything else is overhead.

The free tier is unlimited on cards and members, which for a small team is often the end of the conversation.

Where it frustrates people

It does not scale past a certain complexity, and the reviews are honest about where that line is. Cross project reporting does not really exist. Dependencies are not native. Once you have 200 cards on a board, finding anything is a chore, and the answer is usually a different tool rather than a Power-Up.

The 10 collaborator limit on free workspaces and the automation run caps are the two things that push teams to pay. Neither is unreasonable, but know they exist before you plan around free.

Used less than 6 months

Hit the 10 collaborator limit and had to pay

The free workspace caps at 10 collaborators and we grew past it mid project. Suddenly a tool we had built a process around needed a real budget line. The limit is documented, it just arrives at the worst moment. Plan for it rather than discovering it.

Pros

Perfect for a defined flow: hiring, a content calendar, a punch list.

Cons

Dependencies are not native.

The right amount of tool

I introduced it on a Tuesday and the warehouse team was using it correctly by Thursday. No training session, no manual. For a team that had rejected every previous tool, that is the entire review.

Pros

Free tier runs our whole hiring pipeline

We track our hiring pipeline on the free tier. Candidates move across the board, everyone sees where things stand, and it costs nothing. A dedicated recruiting tool would cost hundreds a month to do the same job worse.
