Custom item types let us model a campaign, a deliverable and an asset as different things with different fields. Forcing all of that into a generic task was what made our old tool feel wrong.

Notifications were overwhelming out of the box
The mobile app is slow and the navigation does not match the desktop mental model. People use it to approve something and nothing else. For a platform this capable the app feels neglected.

The first three weeks are genuinely hard
Team at ten dollars is fine and nearly everything that makes Wrike worth choosing sits on Business at twenty five. Request forms, blueprints, approvals, time tracking and custom fields are all up there. Plan against Business.

It holds up when the work gets complicated
Native time tracking means our billable hours come out of the same system that holds the work. We ran Asana plus Harvest before and reconciled between them monthly, which was a job nobody wanted.

Blueprints mean a new campaign launches with the same twenty two tasks, the same dependencies and the same owners every time. Our newer producers do not have to remember the process because the process arrives with the project.

We had an automation misfiring and creating duplicate tasks across live client projects. It took nine days and three escalations to get someone who understood it. During that time we turned automation off entirely and worked manually.

Compared with monday.com it looks like a tool for professionals rather than something designed to delight. Some of our team read that as cold. It is also why it survives complexity, so I take the trade.

The default notification volume is relentless. Half my team had muted it within three weeks, which defeats the point entirely. It is configurable and the defaults train people to ignore the tool before they discover that.

Everything good is on Business
The folder, project, task and custom item hierarchy is powerful and it confuses everyone at first. Our team was visibly lost for the first fortnight. By week four they were fast. Budget for that dip rather than being surprised by it.
