Tagging is the concept the whole product rests on. Once that clicked, everything got easier, and before it clicked nothing made sense. If you buy this, learn tags first and the rest follows.

Great automation, ordinary CRM
The nickname it picked up in the Infusionsoft years was fair. It is dense, the terminology is its own, and the first fortnight is genuinely disorienting. It does become second nature and the ramp is real.

The CRM itself is ordinary next to dedicated tools

Our enquiry to booked job flow is automatic
We were paying for a CRM, an email tool, a scheduler, a landing page builder and an invoicing product. Keap does all five. It is expensive and it is less expensive than what it replaced, and there is one system holding the customer rather than five that disagreed.
Pros
Flows keep running for years without maintenance

Mandatory onboarding fee of around five hundred dollars

Our service business runs on it end to end. Enquiry comes in through a form, gets scored and routed, nurtured if not ready, booked if ready, invoiced on completion. Two people run what used to take four.

Support could not help with our own build
We imported a trade show list of about four thousand contacts and stepped up a contact tier without any confirmation prompt. The bill went up immediately and the mechanic is documented rather than in front of you when you do the thing that triggers it. Clean the list first.

We spent three months and never got it live
For a four person business this is the largest software line we have by a distance. It does a lot and every renewal I sit and ask whether we would rebuild the same thing across three cheaper tools. So far the answer is no and it gets closer each year.

Two hundred and forty nine a month is a lot for a small business
For what it costs, the reporting is poor. Attribution is hard to get at, and answering which campaign produced revenue took exporting to a spreadsheet. That is a strange gap in a product built around marketing automation.

Nothing else we tried could branch like this
I built a campaign in 2022 that tags an enquiry, sends a five email sequence, books a consultation, invoices after the job and asks for a review a week later. It has run ever since without me touching it. That flow is worth more than the subscription and it is why I tolerate everything else.

We bought it, spent three months trying to get our flows built around actual work, and never launched. That is our failure as much as the product's and the product made it easy to fail. We moved to something simpler and shipped in two weeks.

Onboarding is mandatory and priced
This is not a product you buy and use. Somebody has to own it, learn it properly and build the flows. We gave it to one person for a month and it worked. Businesses that spread it across four part time people are the ones you see complaining.
