The contact tiers caught us out
We imported a trade show list of about four thousand contacts and stepped up a contact tier without any confirmation prompt. The bill went up immediately and the mechanic is documented rather than in front of you when you do the thing that triggers it. Clean the list first.

Because invoicing and payments are in the same system, automation can trigger on whether someone actually paid rather than just whether they clicked. Chasing an unpaid invoice automatically, with escalating messages, is not something a marketing tool can do.

Onboarding is mandatory and priced
As a CRM it is fine rather than impressive. The pipeline is basic next to Pipedrive and the reporting is ordinary. You are buying the automation engine and getting a CRM attached.

The old Confusionsoft name was earned
This is not a product you buy and use. Somebody has to own it, learn it properly and build the flows. We gave it to one person for a month and it worked. Businesses that spread it across four part time people are the ones you see complaining.

Support is friendly and can only help with the product, not with what you built in it. When my campaign logic misfired the answer was that my configuration was mine to debug. Technically fair and not much use at nine at night before a launch.

We bought it, spent three months trying to get our flows built around actual work, and never launched. That is our failure as much as the product's and the product made it easy to fail. We moved to something simpler and shipped in two weeks.

Powerful, and you must commit someone to it
The nickname it picked up in the Infusionsoft years was fair. It is dense, the terminology is its own, and the first fortnight is genuinely disorienting. It does become second nature and the ramp is real.

Our service business runs on it end to end. Enquiry comes in through a form, gets scored and routed, nurtured if not ready, booked if ready, invoiced on completion. Two people run what used to take four.

We evaluated three cheaper tools and none could express conditional branching with this depth. If your process genuinely has if this then that logic several layers deep, the alternatives fall over and this does not.

We were paying for a CRM, an email tool, a scheduler, a landing page builder and an invoicing product. Keap does all five. It is expensive and it is less expensive than what it replaced, and there is one system holding the customer rather than five that disagreed.
