The cost went far past the quote

We were ninety people when we bought and I regret it. We use maybe a third of the capability and carry all of the complexity and cost. X3 did not fail us. We bought the wrong tier and nobody in the sales process talked us down.

Pros

Multi site, multi legislation and multi currency native

Cons

Steep learning curve with real adoption risk

Right for us, wrong for most people our size

Finding people in North America who genuinely know X3 is hard and they charge accordingly. That is a permanent tax on owning this product and it should be in your five year number, not just the implementation.

Cons

Total cost regularly lands double the first quote

Functional, not modern

It is the right system for a regulated manufacturer with real complexity. For anyone under about a hundred people it is far too much, and the honest advice is to look at Sage 100 or Intacct instead.

Pros

One instance across several countries

Cons

Far too much system below about a hundred people

Potency and yield without a workaround

Formulas, recipes, potency and yield are native. Every discrete ERP we evaluated wanted us to model a recipe as a bill of material and pretend, and that pretence breaks the first time a batch comes in under strength.

Enormous capability, enormous project

The interface is functional and that is the kindest accurate word. It is not modern, it is not pretty, and once trained our people are fast in it. Training is the operative word.

We needed an internal expert we did not have

Licenses, implementation, integration and two years of partner support landed at roughly double the original discussion. Individually every increment was justified. Collectively it was a number I would not have agreed to at the start, and by then we were committed.

Response from the vendorNov 26, 2025

Thank you for the detailed feedback. Sage X3 is built for organizations with complex operational and regulatory requirements, and we recognise it is not the right fit at every size. We are sorry the cost expectations were not set more clearly and encourage you to raise this with your account team.

Right for us, wrong for most people our size

Fourteen months from signature to go live with a specialist partner. That was roughly the plan and it is still fourteen months and a very large number. Nobody should buy this expecting anything else.

Adoption was a project of its own

You need someone internal who owns the system. We did not have that person, hired late, and paid the partner for eighteen months to do what that hire now does in a day a week.

Quality control at every stage with holds that actually hold. Product cannot ship while a test is outstanding, which is exactly what our auditors want to see and exactly what a spreadsheet cannot enforce.
