The QuickBooks sync is genuinely two way

Vendors send invoices to one address and the system reads them, codes them and queues them. No more paper on a desk, no more scanning. Our office manager got about four hours a week back immediately.

Approvers counting as users is a racket

Forty nine dollars per user per month adds up fast when finance is four people. We are close to two hundred a month before a single bill is paid, and the price has gone up at renewal both years. It works and I resent the invoice.

Support quality has slipped

Worth it above a certain bill volume

Setting up approval policies, roles and coding rules took a solid week and it is not interesting work. Once done it runs itself. Nobody warned me the configuration was the project.

Before this, an invoice arrived in someone's inbox, got forwarded, sat, and then somebody chased an approval over text. Now every bill has a route and a record. Our controller can see exactly where anything is without asking, and that visibility is what we actually bought.

Our vendors email one address and it just works

Our owner travels constantly and used to be the bottleneck on every payment run. He approves on his phone now, between flights, and the run goes out on time. That alone changed our vendor relationships.

Good product, dull to configure

The sync depth depends entirely on which accounting product and which edition you run. Ours needed the Corporate plan to sync properly, which was a materially different price from the one I had budgeted. Confirm your exact edition before signing.

Signing checks is finally over

Our AP function was two full time people plus a manager. It is now one person part time plus the same manager, and the error rate went down rather than up. That is what justifies the per user cost, and if it did not replace labour I would not defend the price.

Our vendors email one address and it just works

We went through a review and the auditor asked for approval evidence on a sample of forty payments. It took about twenty minutes because every approval is timestamped against the invoice with who did it. That used to be a genuine scramble through email.

A payment went missing for nine days

A payment left our account and did not reach the vendor for nine days. Support could not tell me where it was for most of that. Everything was eventually fine and I have never fully trusted the timing since.
