Powerful, and not beautiful

It looks like a serious tool rather than a designed one. Next to monday.com it is plain. Our people care about whether it holds up under a real programme, and it does, so nobody has complained.

Somebody has to own the conventions

Give it to a team without conventions and in a year you have sheets with fifty columns that only their author understands. That is what flexibility costs and the product does very little to stop it. We wrote a standards document in year two and should have done it in month two.

Executives read the dashboard unprompted

Our operations director does not open project software. She opens the Smartsheet dashboard every morning because the status is obvious without clicking. That is rarer than it sounds.

Powerful, and not beautiful

The automation is capable and the builder is fiddly. Complex conditional logic takes longer to express than it should and testing it is awkward. Once built it runs reliably.

Two hundred project sheets into one view

Our project managers are construction people who have used a spreadsheet for twenty years. Every modern project tool we trialled asked them to think differently and they refused. Smartsheet looks like what they already know, so adoption took about a day and then it just spread.

We ran a rollout across four hundred and twelve retail sites off this. Status per site, dependencies, automated nudges when a milestone slipped. I do not know what else we would have used at that scale.

Dependencies our old tracker never had

We had a master tracker in Excel that was too important to be in Excel. Version conflicts, someone's local copy, formulas broken by a paste. Moving it here kept the shape our team knew and added permissions, history and automation behind it.
